1. Introduction
The Inventory Transfer module within the Stores Management System is used to transfer inventory items from one location to another. The module supports both transfers within the same location and transfers between different locations.
This functionality ensures proper inventory movement tracking, transparent stock management, and accurate inventory reporting across warehouse locations.
2. System Requirements

Browser: Chrome 90+ or Firefox 85+

User Role: Stores User / Warehouse Manager / Admin Access
3. Logging In
-
Navigate to the ZEALIT login page.

Enter your username and password.
-
Select the Stores Module from the dashboard.
-
Open the Inventory Transfer screen.

4. Main Features and Functions
4.1 Inventory Transfer Landing Page
The landing page displays all previously created inventory transfer entries.
Features Available
-
All created entries are displayed in an Excel-style grid.
-
Copy and Edit options are available in the Actions column.
-
A Download option is available to export the grid data.
4.2 Within Location Inventory Transfer
This process is used to transfer products within the same location.
Creation Process
Step 1 – Create Entry

Click the Create button to create a new transfer entry.
Step 2 – Enter Basic Details
Fill in the following details:
-
Date – Date of transfer of goods.
-
Source Location – Automatically locked to the current location.
-
Destination Location – Select the same location for internal movement.
-
Reason – Specify the reason for the inventory transfer.

Step 3 – Material Details
Use the following filters to fetch inventory details:
-
Product – Filter based on Product Code.
-
Vendor – Filter based on Vendor.
-
Store Purchase Order – Filter based on Goods Inward Notes number.

Step 4 – Fetch Inventory Details

Click the Fetch button to retrieve inventory records based on the selected filters.
Step 5 – Submit Entry

Click the Submit button.
-
A unique transfer entry number will be generated.

4.3 Inbetween Locations Inventory Transfer
This process is used to transfer inventory items between different warehouse locations.
Creation Process
Step 1 – Create Entry

Click the Create button to create a new transfer entry.
Step 2 – Enter Basic Details
Fill in the following details:

Date – Date of transfer of goods.

Source Location – Automatically locked to the current location.

Destination Location – Select the destination location where the products need to be transferred.

Reason – Specify the reason for the inventory transfer.
Step 3 – Material Details
Use the following filters to fetch inventory details:

Product – Filter based on Product Code.

Vendor – Filter based on Vendor.
-
Store Purchase Order – Filter based on Goods Inward Notes number.
Step 4 – Fetch Inventory Details

Click the Fetch button to retrieve inventory records based on the selected filters.
Step 5 – Submit Entry

Click the Submit button.

A unique transfer entry number will be generated.
4.4 Edit and Approval Process
The following approval workflow is applicable for both transfer types.
Edit Process

Once the entry is created, it will appear in the landing page with the status as Draft.

The Edit button can be used to modify the transfer entry details.

Approval Process

An Approval button is available based on process access rights.
-
Only authorized users can approve the transfer entry.
-
The transfer process will be initiated only after approval.

4.5 Inventory Tracking

Once the transfer is initiated, the Store Purchase Report can be used to track the inventory item movement.
-
For transfers between locations, an Inward Notes entry is automatically created in the destination location.
-
This ensures transparent inventory tracking and accurate stock movement records.
5. Troubleshooting Common Issues

| Unable to Fetch Inventory Details | Verify the selected Product, Vendor, or Store Purchase Order filters. |
| Transfer Entry Not Visible | Refresh the landing page and verify user access permissions. |
| Unable to Approve Transfer | Ensure approval rights are assigned to the user role. |
| Inventory Not Updated After Transfer | Verify that the transfer entry has been approved successfully. |
6. FAQs
Can I transfer inventory within the same location?
Yes. The system supports internal inventory movement within the same location.
Can inventory be transferred between different locations?
Yes. Inventory can be transferred between warehouse locations using the Inbetween Locations process.
What happens after approval?
Once approved, the inventory transfer is initiated and inventory tracking is updated accordingly.
How can I track transferred inventory?
The Store Purchase Report can be used to track inventory movement details.
Is inward entry created automatically in the destination location?
Yes. For inter-location transfers, inward notes are automatically generated in the destination location.
