1. Introduction

The Job Creation Screen in the Clearance Module allows users to efficiently create and manage clearance-related tasks.


2. System Requirements

  • User Role: Admin, Clearance Manager, or any role with access to job creation

3. Logging In

  1. Navigate to the Zealit login page.
  2. Enter your username and password.
  3. Once logged in, select the Job Creation  option in the left ribbon or through the search button on the top right.
  4. Click Create New Job to access the Job Creation Screen.


4. Main Features and Functions

4.1 Creating a New Job

  1. Go to Clearance Module > Job Management.
  2. Select Create New Job.
  3. If the sea tab is clicked , then the sea job can be created , If air tab is clicked , the air job can be created

  4. Enter the following details:
    • Shipment Type – Shipment type of the BL (Import/Export)
    • BL type – NVOCC/COC ( Based on this data, the BL numbers are fetched in the BL field)
    • BL number – Based on the bl type given, the BL number if fetched if the job being done is with respect to a job done in the system. If not then , this field can be skipped and the ref BL number field can be used.
    • Ref BL number – If the clearance job done is not towards a BL in the system , then this field can be used to record the BL number
    • Customer Category – Direct/Forwarder
    • Business Type – Sales nomination/Free hand/Agent nomination
    • Customer – Customer data fetched from customer master
    • Billing party – Customer data fetched from the customer master
    • Sales person – Sales person data fetched from the user creation screen
    • CS executive – User data fetched from user creation screen
    • Documentation by - User data fetched from user creation screen
    • Wharf Clerk - User data fetched from user creation screen
    • Clearing Agent – A free text field to add clearing agent details
    • Contact person – A free text field to add the contact person details
    • Job date – Job creation date
    • Quotation reference – Free text field
    • PO number - Free text field
    • Customer ref number - Free text field
    • Customs DTI number - Free text field
    • MBL number - Free text field
    • Scheduled clearance date – Date field
    • Last free days – Free text field
    • Custom voyage – If the subject BL used is created in the system or the subject voyage is created in the system, then this field can be used to fetch the voyage master data
    • Vessel – If custom voyage choosed , then the vessel will auto fetch, if not it can be added manually
    • Voyage  - If customer voyage choosed, then the voyage will auto fetch, if not it can be added manually
    • Shipment cleared date – Date field
    • Shipment cleared – Yes/No
    • ETD – If customer voyage choosed, then the date is fetched automatically, if not the date can be added manually
    • ETA – If customer voyage choosed, then the date is fetched automatically, if not the date can be added manually
    • Port of Loading – POL of the BL
    • Port of Discharge – POD of the BL
    • Job Type – Fcl/Fcl, LCL etc
    • Liner – Free text field to add the liner details
    • USD Ex rate – Buying – Free text field
    • USD  Ex rate – Selling – Free text field
    • Remarks – Free text field
    • Marks and numbers – Free text field
    • Cargo Description – Free text field
    • Party details – by clicking on the + button , the various parties involved in this job can be added from the customer master data
    • Container details – Container details can be added such as Package,CBM,Gross weight
    • Equipment type – By clicking on the + button , the number of container and the container type can be defined. Once added , the container details can be added in each of the row created
    • Attachment – If any attachments available , can be added here
    • Notes – If any incidental or some other info needs to be captured , then it can be pre defined as a field and captured here
  5. Rate Tab
    • The charges involved in the job that will be invoiced to the customer will be added here
    • Charge type – Classification of charge
    • Charge code – Charges fetched from the charge master
    • Basis – Container,BL etc
    • Currency – The currency of the charge
    • Amount – The amount of the charge
    • Remarks – free text field
    • Click on the add button to add a charge to the grid below
  6. Cost Tab
    • The charges involved in the job that will be invoiced from the vendor.
    • Charge type – Classification of charge
    • Charge code – Charges fetched from the charge master
    • Basis – Container,BL etc
    • Currency – The currency of the charge
    • Amount – The amount of the charge
    • Remarks – free text field
    • Click on the add button to add a charge to the grid below
  7. Click save to create the job .

4.2 Editing Job Details

  1. Navigate to the Job Management section.
  2. Find the job you wish to edit and click the view job button next to it.
  3. Modify the required fields as necessary
  4. Click Save to apply changes.


4.3 Tracking Job Status

  1. In the Job creation screen, there are three column available.
  2. Draft: Job is created but not yet started.
  3. Confirmed: Job that are in confirmed status
  4. Cancelled: Job that have been cancelled.

5. Printable and report

  1. Click on the "I want" button to find the printable such as 
    1. Job card
    2. Acknowledgement
    3. DO - Delivery Order
  2. find the report section on the left ribbon and find the reports such as 
    1. CHA job summary report
    2. Customer open items
    3. Customer outstanding report
    4. Detailed ledger AR
    5. Vendor open items
    6. Detailed ledger AP
