1. Introduction

The Transport Rental Contract module is designed to manage rental agreements between transport service providers and customers. It enables users to calculate detention charges when a truck is halted by the customer based on activity-related details. The detention charges are calculated based on hours of delay, ensuring accurate billing for time spent beyond the agreed schedule. This module ensures that all contract terms, including detention fees, are properly managed and tracked.


2. System Requirements

• User Role: Admin, Transport Manager, or Rental Contract Manager Access


3. Logging In

  1. Navigate to the Zealit System login page.
  2. Enter your username and password.
  3. Select the "Transport Rental Contract" module from ribbon on the left or through the search button on the top right .



4. Main Features and Functions

4.1 Setting Up Transport Rental Contracts

  1. Go to Transport Rental Contracts > New Contract.
  2. Enter the following details:
    1. Truck Type – Type of truck involved in the
    2. Charge Type -  whether the charge is revenue or cost
    3. Charge Code – the charge code for dete
    4. Start Activity – The activity which will trigger the Detention calculation
    5. End Activity – The activity which will end the calculation of the detention.
    6. Valid From – validity of the contract
    7. Valid Till – Validity of the contract
    8. Status – Active/De-Active
  3. Save the contract details.
  4. In the tariff details , the slabs and their amounts can be added.


4.2 Calculating Detention Based on Activity

  1. Go to Rental Contract > Calculate demurrage.
  2. Detention charges will be automatically calculated based on the detention rate and duration of the delay (measured in hours).
  3. Review the detention charges calculated for each activity in the transport rental details.

4.3 Managing Transport Rental Records

  1. Navigate to Transport Rental Records.
  2. Search for existing rental contracts using filters such as contract code, customer name.
  3. Edit contract details if necessary, including updating the detention rate or activity information.
  4. Deactivate contracts once completed to maintain accurate records.

Ensure the Contract Code is unique and if there are existing entries for the same combination

Verify that the correct start and end activity are entered in transport order

How is detention calculated?
Detention is calculated based on the duration the truck is halted (in hours or part of an hour) during the rental period, and the detention rate defined in the contract.

Can I update the detention rate after a contract is created?
Yes, you can update the detention rate in the contract details, but changes will only affect future
