ASN (Advance Shipping Notice) – User Manual

1. Introduction

The ASN (Advance Shipping Notice) functionality in Zealit enables users to create and manage inbound shipment notifications prior to Goods Receipt processing.

The ASN screen is integrated into the Goods Receipt Notes (GRN) screen and allows users to:

• Create ASN entries manually
• Upload ASN details in bulk using Excel
• Maintain shipment and package-level information
• Convert ASN directly into GRN

This functionality helps streamline warehouse receiving operations and improves inbound shipment visibility.

2. System Prerequisites

Required Access

• GRN Screen Access
• ASN Creation Permission
• ASN Upload Permission

3. Accessing the ASN Functionality

1. Log in to ZEALIT ERP.
2. Navigate to the Goods Receipt Notes (GRN) screen.
3. The screen contains two tabs:
   • GRN
   • ASN
4. Select the ASN tab.
5. ASN can be created using:
   • Manual Creation
   • Bulk Upload Process
     
     

4. ASN Creation Process

4.1 Manual ASN Creation

Steps to Create ASN Manually

1. Click the Create button.
2. Click the dropdown arrow available beside the Create button.
3. Select ASN from the dropdown options.
4. The ASN creation page will open.
   
   

Basic Details Section

The following details are maintained in the ASN header section:

• Date of Receiving
• Customer
• Shipment Related Details
  
  

Field Customization

A Gear Button is available in the screen which allows users to:

• Rearrange columns
• Rename existing fields
• Customize the screen layout as required
  
  

4.2 Product Details Entry

Product Details Section

The Product Details page is used to maintain package and item-related information.

Process

1. Click the Add Row button.
2. Enter the required package/product details.
3. Multiple rows can be added as needed.
   
   

Column Customization

The Product Details section also contains a Gear Option which allows users to:

• Rearrange columns
• Customize visible fields
• Modify column sequence based on operational requirements
  
  

4.3 ASN Bulk Upload Process

The ASN upload functionality allows users to upload multiple ASN entries simultaneously using the downloadable template.

Downloading the ASN Template

1. Navigate to the ASN screen.
2. Click the Create dropdown.
3. Select Download ASN.
   
   

The system downloads the ASN upload template.

Main Sheet

The Main Sheet contains ASN header-level details.

Process

1. Fill the required ASN details against each Serial Number.
2. One Serial Number represents one ASN entry.
3. Multiple ASN entries can be maintained in the same sheet using different serial numbers.
   
   

Product Details Sheet

The Product Details sheet is used to maintain package/item information.

Process

1. Enter the product details with the corresponding Serial Number.
2. Ensure the Serial Number matches the Main Sheet entry.
3. Multiple product entries can be maintained for each ASN.
   
   

Uploading the ASN

1. Save the completed template.
2. Navigate back to the ASN screen.
3. Upload the completed file.
4. The system validates and creates ASN records.
   
   

4.4 ASN Conversion to GRN

Once ASN details are completed and verified:

1. Open the required ASN.
2. Click the Convert to GRN option.
3. The system converts the ASN into a Goods Receipt Note (GRN).
   
   

This reduces manual data entry and improves receiving accuracy.

1. Navigate to GRN Screen
2. Open ASN Tab
3. Create ASN Manually or Download ASN Template
4. Enter Basic Details
5. Add Product Details

7. Validate ASN Details
